GreaseStop Ledger

Used cooking oil (UCO) collectors with 1 to 6 trucks

Used cooking oil collection software that turns gallons into rebate statements

GreaseStop Ledger is a pickup ledger for independent grease collectors that records the tank behind each restaurant, the route your driver runs and the gallons pumped at every stop, then works out what each account is owed.

Five questions a paper route sheet can't answer

  • How many gallons did Lucky Wok give you last month?

The driver wrote 140 on a route sheet. The office was going to type it in on Friday.

  • What do you owe the steakhouse in rebates?

Someone adds up a month of sheets, multiplies by the rate in their head, and the restaurant disputes it.

  • Which stops can a substitute driver find?

The regular knows the bin is behind the dumpster enclosure. The sub misses it, and the tank overflows.

  • Where did the 150-gallon bin from the closed diner go?

Back to the yard, or still behind an empty building. Nobody wrote it down.

  • Which accounts barely cover the diesel?

A weekly stop that gives you 10 gallons a month has been riding along for two years.

  • GreaseStop Ledger answers all five

from the gallons your drivers log at the stop, the same minute they log them.

The sub driver gets the same stop list as the regular

Each route is a numbered list in driving order. Every stop carries the address with a map link, the gate code and where the container sits, its size, and when it was last pumped. Drag stops into a new order in the office and the driver's phone has it on the next refresh.

At the stop the driver enters gallons, picks clean, water, solids or contaminated, or marks it skipped with a reason like "tank locked". A damaged bin gets flagged for repair from the same screen.

How it fits together

Tank, route, gallons, rebate

  1. Tank

Record the caddy, bin or steel tank behind each restaurant, with its size, serial and the day it went in.

  2. Route

Build each truck day once and put the stops in driving order. Assign the driver.

  3. Gallons

The driver logs gallons, water or solids, or a skip with a reason, at each stop.

  4. Rebate

Pick a month. Every rebate account gets a statement built from its logged gallons and rate.

Gallons per route and per account

The dashboard shows gallons this week by route, which stops are overdue for their frequency, and the lowest-yield accounts over 90 days: the diner that barely fills a bucket on a weekly stop is the one to move to monthly or drop.

Water and solids on record

Contaminated loads are flagged at the stop, so you have the record when a renderer docks you or a restaurant asks why its rebate dropped.

Containers in the yard

Bring a tank back from a closed account and it waits in the yard list, ready to place at the next new restaurant.

Rebate statements per account

Month end takes one button

Pick the period and a draft appears for every restaurant marked as earning a rebate, with each pickup date and gallon count behind the total. Check it, mark it sent, mark it paid. Print it or save it as a PDF, and the restaurant can see the same numbers in its own login.

Small accounts on free pickup are left out automatically, and a statement can't be made twice for the same restaurant and month.

What it costs

Pay when you add a driver

Generic hauler software runs $54 to $200 a month and has no idea what a rebate is. These prices are for the whole company; yearly billing gets two months free.

Rebates, drivers and your old spreadsheet

Updated October 15, 2026

How is a used cooking oil rebate calculated here?

You set a per-gallon rate on each restaurant that earns one, or a default rate for the company. A statement adds up the gallons logged at that restaurant in the period, leaves skipped visits out, and multiplies by the rate. Change the rate on a draft and the amount owed follows.

Do drivers need a laptop?

No. A driver signs in on a phone and sees only the routes assigned to them, stops in order, with a map link, the gate code and the container on site. Logging a stop is a gallons box, a quality choice and one button. There is a printable sheet for anyone who still wants paper.

Our account list is in Excel. How do we move it over?

Copy the rows with the header and paste them into the import box. Restaurant, address, contact, phone, frequency and rebate rate come across. Accounts, pickups and statements export back to CSV whenever you want.

Can a restaurant manager check their own gallons?

On the Fleet plan you can give a manager a read-only login. They see their pickup history, their container, the next scheduled pickup and the statements you have sent, and they stop phoning the office.

Does this work for a one-truck UCO collection business?

Yes. Free covers 25 restaurant accounts and 2 routes for one person. Most collectors move to Route when they hire their first driver.

What counts as overdue?

Each account has a frequency: weekly, every two weeks, monthly or on call. A stop whose last real pickup is older than that shows on the dashboard as overdue, with how many days late it is. On-call accounts never do.
